Schedule Virtual Meetings in Outlook
Schedule Zoom or Teams meetings directly from your Outlook calendar.
Initial Set Up
Step 1: Disable Automatic Online Meeting
In some cases, Teams will be automatically added to all Outlook calendar meetings. Whether you choose to use Teams or Zoom, we recommend disabling this automatic setting.
Open http://outlook.office.com and sign in
Click Settings
Go to Calendar
Go to Events and Invitations
Uncheck Add online meetings to all meetings
To disable this, go to Settings > Calendar, and Unchecked "Add online meeting to all meetings."
Step 2: Enable Zoom for Outlook
On Web or Windows
Open Outlook on desktop or Web
Click on More Apps/Add apps
Type in Zoom in the Search and Click on Zoom Communications
Add App
If you see Open instead of Add App, then you already have the app added on your account.
On MacOS
Open the Outlook desktop application.
Go to the Home ribbon and select Get Add-ins.
In the add-in store that opens, search for "Zoom for Outlook" or "Zoom."
Click Add, then close out of this window.
Open Calendar in Outlook and create a new Meeting.
Enter the Subject, then click the Zoom meeting button.
You will be prompted to sign in to your Zoom account and connect Zoom and Microsoft. Follow the prompts to complete the configuration.
Schedule with Outlook on the Web
If scheduling a Zoom meeting on behalf of another user that you have scheduling access for, click Zoom > Settings and select the user who should be listed as the meeting host.
Open outlook.office.com and sign in
Open Calendar and click New Event
Add the Title, Date, and Time of the meeting
Select the Platform you wish to host your meeting on
Zoom
Select Add a Zoom Meeting. The Location will update to include the Zoom meeting URL and additional meeting information will populate below in the meeting details.
Teams
Toggle Teams Meeting. The location will update to say Microsoft Teams Meeting and the meeting link and details will populate after the invitation been sent.
Schedule with Outlook for Windows
Open Outlook on desktop.
Open Calendar and click on New Meeting
Enter Title, Date, and Time of the Meeting
Select the Platform you wish to host your meeting on:
Add a Zoom Meeting
Click on Schedule a Meeting and set your meeting settings
The Location will update to include the Zoom meeting URL and additional meeting information will populate below in the meeting details.
Teams Meeting

Schedule with Outlook for Mac
Open Outlook on desktop.
Open Calendar and schedule a new Meeting.
Enter the Subject, Date, and Time of the meeting.
