M365 Accessing Shared Mailboxes (formerly called Resource Accounts)

How to access shared Mailbox

1. Accessing a Shared Mailbox in Outlook Desktop (Windows or Mac)


Windows Desktop:

  1. Open Outlook.

  2. Click on the File tab in the top-left corner.

  3. Click on Account Settings and select Account Settings again from the drop-down menu.

  4. In the Account Settings window, click on your email account, and then select Change.

  5. Click on More Settings.

  6. Go to the Advanced tab.

  7. Under Mailboxes, click Add.

  8. Type the name of the shared mailbox you want to add (usually, it’s the email address or display name of the shared mailbox).

  9. Click OK, then Next, and finally Finish.

  10. Close the Account Settings window, and restart Outlook.

Once you've added the shared mailbox, you should see it appear in the left panel of Outlook, below your personal mailbox.


Mac Desktop:

  1. Open Outlook.

  2. Go to Tools and select Public Folders.

Click on the shared mailbox name in the left panel. If it’s not listed, follow these steps:

  • Go to Tools > Accounts.

  • Select your account, click Advanced, and go to the Delegates tab.

  • Under Open these additional mailboxes, click + and enter the shared mailbox’s name.

Click Add, then OK. You should now see the shared mailbox in the left panel.


2. Accessing a Shared Mailbox in Outlook Web ( Outlook.com or Office 365 Web)


1. Log into Outlook Web (Office 365 or ) using your account credentials.
2. In the left panel, you should see your personal mailbox.
3. Click on your profile picture or your initials in the top-right corner.
4. Select Open another mailbox from the dropdown.
5. Type the name or email address of the shared mailbox.
6. Click Open.
The shared mailbox will open in a new tab and should be listed under your folders in the left-hand panel.


3. Accessing a Shared Mailbox in Outlook for Mobile (iOS or Android)

In Outlook mobile apps, you can access shared mailboxes, but the process differs slightly:

  1. Open the Outlook mobile app.

  2. Tap the profile icon (or the menu icon) in the upper-left corner.

  3. Tap on Settings (the gear icon).

  4. Under the Mail Accounts section, select Add Account.

  5. Enter the shared mailbox email address and select Add Shared Mailbox.

  6. If the shared mailbox is properly configured, it will now appear in the account list.
