FAQ: Moving Email to Microsoft 365


Application Upgrade Process

  1. What do I need to do in order to upgrade my apps?

Follow the instructions on M365 Application Upgrade for both Windows and Mac.

  • Windows users will update your software through Software Center.
    Users who have not updated their applications through Software Center will receive a pop up asking you to close Office applications and the update will start.

  • Mac users will need to reboot their systems to have the current Office licensing removed.

  • Do not select “TRY THE NEW OUTLOOK” after install of M365 applications:

Logging In & Access

How do I log in for the first time after apps are upgraded but I have not been migrated?
Windows & Mac - After upgrading to latest Microsoft Office, Users will be prompted to sign into their Microsoft Account. Users will login with their Fairfield University provided email address and their Netid Password. Once this is completed, all Microsoft Applications will be activated. 

Will I need to sign out of my current apps, including Outlook?
Yes, you must sign out and re-authenticate in Outlook and other Microsoft 365 apps.


Migration Process & Downtime

How long will the migration take for Fairfield University?

We are migrating approx. 150 users per day, starting on March 24th.

Will we experience any downtime during the migration?

  • Windows Users: You may experience minor interruptions while your account is being updated.

  • Mac Users: You may experience brief app activation delays, typically lasting up to 15 minutes.

Can I use Microsoft 365 during the migration?

Yes, you can continue using email and apps. However, if updates are queued, you may temporarily be unable to open certain applications.


Email, Data & Shared Mailboxes

Will my existing email data be transferred to Microsoft 365?

Yes, all emails, calendars, and contacts will be migrated. Keep in mind that post migration you may experience a delay in your mail and calendar syncing.

How does this change impact shared mailboxes?

Shared mailboxes will migrate to Microsoft 365 with the same permissions. If you are unable to access shared mailbox you will have to access them from OWA until the Resource accounts are migrated.

Access Resource accounts via web application

Will my pst’s be migrated?  

They will display in Outlook after the upgrade, but they are not imported into M365 and are still local files

Scheduling a meeting

Post Migration, you can easily schedule Teams or Zooms meetings from the Calendar. In some cases, Teams meetings will be enabled for all meetings by default to provide a virtual option. To disable this, go to Settings > Calendar, and Unchecked "Add online meeting to all meetings."


Email Clients, Plugins & Devices

Will my current email client (like Outlook) still work?

  • Windows Users: Yes, Outlook will work with Microsoft 365, but some settings may need adjustments.

  • Mac Users: Yes, but you may need to reconfigure Outlook or switch to Outlook Web Access (OWA).

Will plugins or integrated tools work with the new M365 mail?

No, not initially. If you require a plugin or integration, please submit a ticket explaining the business use case. Security approval is required before reinstallation.

How will this migration impact personal devices?

Users will need to sign into Mail apps using Microsoft 365 instead of Exchange. Some settings may need updating.
